Office Administrator

Classification: Year-round, Full-Time 

Reports to: Operations Manager 

 

Purpose of Office Administrator Position:  

The OA is both a guest facing and business facing position. This role provides frequent and often the first interaction a guest will have with our organization and sets the stage for delivering a delightful customer experience. Simultaneously YAA depends on the OA to ensure our key administrative systems run efficiently and effectively, information is promptly delivered, and detailed attention is applied to maintaining order of office spaces.  

Key Responsibilities:  

Guest Facing: 

  • Serve as point of contact for guests, volunteers and visitors. Provide exceptional customer service by addressing inquiries, resolving issues, and assisting with reservations or bookings. 

  • Registrar: Point of contact for camp registrations, inquiries and questions.  

  • Volunteer Management: Manage volunteers to support our mission and programs. Primary point of contact for volunteers to ensure experience is positive.  

  • Communication Liaison between volunteers and internal staff.  

  • Coordinate volunteer schedules and assignments with internal staff. 

  • Work with OM to develop volunteer appreciation and retention programs.   

  • Carry-out tasks related to communication as directed for donor gratitude, email campaigns, annual communications, etc. 

  • Assist in event planning and execution in partnership with Operations Manager and Development team. 

Business Facing: 

  • Administrative Support: Perform clerical tasks to support YAA staff, including handling correspondence, answering phones, and managing office supplies.  

  • Office Operations: Maintain office equipment, coordinate office maintenance, assist in camp store inventory management and help manage office related budget. 

    • Help facilitate internal communication by disseminating information, coordinating staff meetings and other staff events.  

    • Teach and train fellow staff members in Microsoft Office skills like mail merge, excel, publisher etc.  

  • Financial and Record Management: Maintain records, files and databases as directed in both physical and electronic formats. Handle basic accounting tasks such as check entry, invoicing, and expense tracking. 

    • Balance out cash box for camp store/concessions as needed. 

    • Maintain daily check log.  

Story Telling:

  • Participate in collective fundraising efforts within your sphere of influence. Specific amount assessed and determined annually. 

Supervisory Responsibilities: 


This position works alongside of as well as for many other people including guests, staff, seasonal staff, campers and volunteers. As such this position requires an eagerness to serve and support others; people smarts with developed interpersonal skills; and the ability to lead with impeccable organizational and time management skills.
